The event manager handles the venue. The front desk knows about room availability from a forwarded email. The online booking system sells the rooms. On the day of the event, you have coffee, equipment, and guests at the hotel just down the street.
One booking, multiple locations
The conference organizers handle the venue, program, catering, and equipment. Rooms are blocked in the hotel calendar as part of the same event, not as a request. The deposit and pro forma invoice are attached to the order, so you know what’s been paid before you distribute the program.
A change in the number of attendees updates both the venue and the rooms in one place. You don’t have to call three different departments to check if “that group from Bratislava has paid yet.”
