What we hear when we sit down with operators
Some hotels want to shorten front-desk hours. Other apartment operations run with no receptionist on site at all. In both cases it becomes clear that check-in is only one part of the process.
The guest needs to fill in or scan their details, the hotel needs to check them against its duties, the stay needs the right payment status, and only then comes physical access to the building and the room. If those steps live in different systems, the front desk still checks them by hand.
How Ellipse solves it
This is not one extra feature. What matters is that the steps follow one another and the same piece of data does not have to be entered again in every department.
Digital check-in should reduce retyping
Self Check-in can let the guest read the details from an ID with OCR instead of typing them. Depending on the configuration, a further identity check can be part of the process.
The exact rules for identifying the guest and handling personal data must always match the property's legal duties and the chosen way of accommodating guests.
Payment is a separate condition
The hotel can set access to be issued only after a deposit, the whole stay, local fees or another required combination is paid. The guest can receive a prompt for a secure online payment.
The condition has to be transparent. Before arrival the guest must know what they have to complete in order to receive access.
The PIN is not issued by the clock. It is issued when the rules are met
With a compatible access system, Ellipse can prepare a time-limited PIN or another digital access. The code is shown to the guest only after the defined conditions are met.
Access can follow the booking dates. When the stay is extended, that lowers the risk that the guest is left with an invalid key.
No front desk does not mean no support
A self-service hotel still has to handle questions, changes to billing details or unusual situations. Messages API gathers communication from the supported channels, and Ellipse Team sends a notification to the responsible person on their phone.
Automation should remove the routine. Exceptions should reach a person who can decide them.
What changes in day-to-day operations
- The guest can arrive outside front-desk hours.
- Check-in, payment and access follow one another logically.
- The hotel sets the conditions for issuing access.
- The team handles exceptions from a phone instead of being at the desk all the time.
- The whole process stays tied to one booking in the PMS.

COMMON QUESTIONS
What operators ask us
Is an online form automatically a full check-in?
No. The form is only one step. The property must have the whole process of collecting and checking data set up according to its legal duties.
Can Ellipse read the details from an ID document?
Depending on the chosen setup, Self Check-in can use OCR to read details from a supported document.
When does the guest receive the PIN?
The hotel sets the conditions. It can be, for example, a completed check-in and the required payment status.
What if the guest needs help at night?
A self-service model needs an escalation path. Messages and notifications can reach the responsible person even without a staffed desk.
