The Appointment Book Next to the Sheet

The front desk promises a massage at 3:00 p.m. because there’s an opening in the appointment book. The therapist has a different opening in a different appointment book. The guest arrives, the room is occupied, and you offer to reschedule, which disrupts two other reservations.

A slot that can’t be promised twice

A time reservation includes a service, a person, or a room, as well as duration and capacity. The online calendar only sells available slots. A reminder before the appointment reduces no-shows. Payment in advance reduces them even further—those who only have a name on the calendar are more likely to show up “if they have time.”

Both hotel guests and visitors from out of town are booked into the same calendar. Otherwise, you’ll end up selling a hotel room time slot that you’d already sold to someone off the street that morning.

  • One calendar for both the front desk and the website
  • Room and therapist capacity
  • Reminder before the appointment
  • Payment or credit—not just a name in a notebook
